Manager Medical Supplies Team

Manages volunteers in the sorting/production of mixed medical products into finished boxes and pallets, ready for distribution. This position oversees volunteers including work assignments, mentoring and training to ensure proper procedures and safety policies are followed. Works with staff and a large team (250+ per week) of volunteers.

  • Manage volunteer scheduling, balancing skill sets to ensure production outputs.

  • Cultivate and maintain a positive work environment with volunteers.

  • Improve consistency and quality of volunteer work through updated documentation and training.

  • Strengthen engagement and retention of DC volunteers through appreciation activities in coordination with the Volunteer Engagement Team.

  • Oversee all production aspects associated with external volunteer groups.

  • Direct collaboration with Volunteer Engagement Team, managing all aspects of DC volunteer life cycle.

  • Oversee the preparation for the annual audit of inventory.

  • Oversee production processes that sort mixed medical supplies into boxes for final production.

  • Improve current systems and process to ensure efficiencies and quality of product to the field.

  • Oversee the Inventory Management System (IMS) database.

  • Manage inventory, adhering to Medical Teams International standards for dating and quality.

  • Ensure that specialized knowledge is applied to management of medical supplies.

  • Ensure that guidelines for processing supplies are up to date.

  • Supervise the Local Humanitarian Aid program, coordinating the needs of local agency partners with available hygiene and over the counter product.

  • Provide back up support to the distribution center team as needed.

  • Procure supplies for daily activities in the distribution center.

  • Assist with developing and documenting procedures of operation.

  • Develop and maintain distribution center information boards.

  • Provide training and support to the distribution center team.



  • Coordinate with Logistics Manager to ensure necessary product is being processed to meet needs.

  • Utilize volunteers whenever possible.

  • Additional duties as assigned.




  • High School diploma or equivalent.

  • Valid Driver License.


  • Bachelor's degree in a related field.

  • Certifications in warehouse, supply chain, lean management or process improvement.



  • 3 years management experience: Teams leadership and direct staff supervision.

  • Minimum 1 year experience working with volunteer management and/or coordination.

  • Minimum 1 year experience with Gift-in-Kind programs.

  • Experience operating forklift, pallet jacks, and other warehouse equipment.

  • Pass certification tests for fork lift.

  • Understanding of medical product and medical procedures.


  • Medical knowledge and experience such as a CAN, EMT, RN etc.

  • Experienced strategic thinker.

  • Experience with client relations management (CRM) Software, inventory management, and financial software.

  • Intermediate skills with Microsoft Office; Work, Excel, PowerPoint, Outlook email & calendaring, as well as internet and intranet.


Tools and Equipment Used:

  • Requires frequent use of personal computer, including word processing, database programs; calculator, telephone, and copy machine.

  • Requires use of pallet jack, hand truck, and forklift (training provided).
